GRACE & GROW PRESCHOOL · FAMILY RESOURCES
Liability waiver & participation agreement
Effective October 25, 2026 · Version 2026-10-25-v2
We want every child to feel safe, welcomed, and ready to grow. Please read this agreement for each child you register, including children joining a waitlist.
Activities & everyday risks
Events may include active play, outdoor activities, crafts, games, and shared spaces. Even with supervision and safety precautions, children may experience falls, bumps, scrapes, allergic reactions, or other injuries. Review the event description and speak with Ms. Allie about any concerns before registering.
By registering, you acknowledge the ordinary risks inherent in these activities and give permission for your selected children to participate. Staff will use reasonable care and age-appropriate supervision. This agreement does not release Grace & Grow or its staff from responsibility for negligent care, gross negligence, or intentional misconduct, or waive any rights that cannot lawfully be waived.
Registration does not provide blanket permission for off-site trips, vehicle transportation, photography, or medication administration. Any separate permissions needed for those activities must be arranged directly with Ms. Allie.
Help us care for your child
Keep your child’s birthday, allergy information, and relevant care notes up to date. Discuss medical needs, accommodations, and any emergency care instructions directly with Ms. Allie before attendance. Adding information to your account does not replace that conversation.
Keep your contact details current, provide an emergency contact directly to Ms. Allie, and remain reachable during the event. Tell Ms. Allie about changes that could affect your child’s participation or safe pickup.
Emergency response
If a child is injured or becomes seriously ill, staff will take immediate steps to keep the child safe, provide first aid within the caregiver’s training, and call 911 when needed. Emergency assistance will not be delayed while staff try to reach a parent or guardian.
Staff will contact the parent or guardian as soon as circumstances allow. If they cannot be reached, staff will try the emergency contact provided to Ms. Allie. Emergency responders may arrange transportation for further medical care when needed.
By registering, you authorize staff to obtain emergency assistance and share relevant health and contact information with emergency responders as needed for your child’s care. Complete any separate medical consent forms requested by Ms. Allie before attendance. Treatment decisions remain with the appropriate medical professionals and any legally required consent process.
Staff will document injuries and the response taken and share that information with the parent or guardian. Discuss any individual emergency care plan with Ms. Allie before attendance. Medical charges and insurance coverage are handled with the treating providers and insurer; this agreement does not promise coverage or payment by Grace & Grow.
Illness & early pickup
Keep children home when illness prevents comfortable participation or creates a risk of spreading infection. This includes fever, vomiting, diarrhea, or symptoms that require more care than the program can safely provide. Tell Ms. Allie about an illness or exposure that may affect attendance.
Before returning, children must be well enough to participate and have been free of fever for at least 24 hours without fever-reducing medicine, and free of vomiting and diarrhea for at least 24 hours. Disease-specific public health guidance, required exclusion periods, and applicable health department directions take precedence over this general rule. Discuss ongoing symptoms caused by a documented noninfectious condition with Ms. Allie so an appropriate care plan can be arranged.
If a child becomes ill during an event, staff will contact the parent or guardian. An authorized adult must pick up the child promptly and within 60 minutes of notification. Early pickup may also be required when a child cannot safely continue participating despite appropriate support. Remain reachable and have a backup pickup arrangement.
Medication needs must be discussed with Ms. Allie in advance. Medication may be given only under an agreed care plan with the required written permissions and instructions; this registration acknowledgment alone does not authorize medication administration.
Authorized pickup
Children may leave only with a parent, guardian, or another adult authorized in writing by the parent or guardian. Provide pickup permissions and any changes directly to Ms. Allie before pickup and obtain confirmation that the change has been received. Registration notes alone do not confirm a pickup change.
Unfamiliar adults must present photo identification so staff can verify their identity and authorization before releasing a child. Share relevant custody or pickup restriction documentation with Ms. Allie in advance so it can be handled in accordance with applicable requirements.
If the planned pickup adult is unavailable or a pickup raises an immediate safety concern, staff will contact the parent or guardian to arrange a safe alternative and seek emergency assistance when necessary. Children will remain supervised while a safe pickup is arranged.
Pick up your child by the event’s scheduled end time and contact Ms. Allie immediately if you are delayed. Staff will try the parent, guardian, and emergency contact if pickup is overdue. No late pickup fee applies unless its amount and terms were separately disclosed before registration.
Kind hearts, safe choices
Children are expected to use safe hands and feet, treat others kindly, respect shared materials, and follow staff safety directions. Staff will provide age-appropriate reminders, redirection, and support, considering each child’s developmental needs and any agreed accommodations.
Three-strike conduct policy
A strike is a documented serious or repeated conduct incident that continues despite appropriate support. Ordinary mistakes and age-appropriate learning moments are opportunities for guidance, rather than automatic strikes. Strikes apply within the enrolled event or program.
- First strike: communicate & reset. Staff will discuss the incident with the parent or guardian, explain the safety concern, and agree on expectations and support.
- Second strike: make a plan. Staff will notify the parent or guardian and discuss a plan for safe participation. Early pickup may be required for that day.
- Third strike: participation ends. The child will be withdrawn from the remainder of that event or program. Future participation will require a conversation with Ms. Allie and approval of a plan for safe return.
Each strike and the reason for it will be shared with the parent or guardian, who may discuss concerns with Ms. Allie. A serious incident that puts a child or another person at immediate risk may require immediate pickup or removal from the event or program without progressing through all three strikes. Support and reasonable accommodations will be considered before a participation decision; this policy does not override applicable rights or requirements.
Cancellations, missed days & refunds
If your plans change, use the cancellation action on the event page or contact Ms. Allie promptly. At least seven days before the event, cancellation is completed automatically, the registration charge is removed from your amount owed, and confirmed places are released. Cancelling does not automatically issue a refund or erase a recorded payment. Contact Ms. Allie to arrange any refund owed under these terms.
- Family cancellation at least 7 days before the event: Cancellations received at least 7 days (168 hours) before the scheduled event start qualify for a full refund of amounts paid for that registration, including lunch charges.
- Later cancellation: Less than 7 days before the scheduled event start, including after the event has started, the cancellation action submits a request for administrator review. Your registration, places, and amount owed remain unchanged while the request is pending. If approved, your places are released; the original charge remains payable unless an administrator explicitly waives it. You will be notified of the decision. A refund or credit is not guaranteed; contact Ms. Allie to request individual consideration.
- Illness, absence, or early pickup: Refunds or credits for missed time or unused lunches are not guaranteed. Contact Ms. Allie if you would like your circumstances considered.
- Participation ended under the conduct policy: A refund or credit for unused days or lunches is not guaranteed. Any decision about a requested refund or credit will be communicated with the participation decision.
- Event cancelled or shortened by Grace & Grow: You will receive a full refund for unused paid days and the associated unused paid lunches. A credit may be offered as an alternative, but will be used only if you choose it.
Refunds due under this policy will be processed within 10 business days after cancellation or, for a discretionary request, after approval. Your bank or payment provider may take additional time to post the funds. Any refund or credit required by applicable law will be honored.
Before you register
By checking the acknowledgment in the registration form, you confirm that you are a parent or legal guardian authorized to register the selected children, have read this agreement, understand the activity risks, and agree to these participation policies for all selected children. You also confirm that you will provide accurate care and contact information and discuss individual needs with Ms. Allie before attendance.
Registration or waitlist placement still follows the event’s capacity and age requirements. This version applies to new registrations acknowledging it. A later policy update does not change the acknowledgment recorded for an existing registration.
